Flood -- Liphook Village Surgery

Sadly Liphook Village Surgery had an internal pipe burst on Sunday 05.10.14. This flooded much of the downstairs damaging carpets, furniture and some computers.

Our waiting room has been affected and we are only able to use half of it. Dr Bashforth's and Dr Sylvester's rooms were not affected, nor were either of the nurses rooms. However, Dr Hobbs' room has been damaged and Dr Ford's room is completely out of action. Our reception and corridors have also been badly affected.

We are determined to remain open and to see patients as usual. There will be a period of time where the building is in a state of disruption. Please accept our apologies for any inconvenience caused at this time - we will be removing carpet to let the building dry out before we can commence any repairs. Following our flood last weekend, the loss adjusters have been to the surgery and appointed a specialist drying-out company. As staff mopped up so much water quickly, and we lifted the carpet Monday evening, there is less damage than originally feared.

The concrete that forms the ground floor is saturated and must be dried out thoroughly before we can redecorate and put new flooring down. On Saturday 11.10.14, the specialist drying-out company will be putting an antibacterial agent down on the floor to kill any bugs that may have contaminated the floor. They will be installing equipment to dry the concrete. This equipment will run overnight and be turned off in the day so that we can utilise our clinical rooms as normal.

Formal weekly inspections will take place to assess risks as well as daily monitoring of the work in hand to ensure we are safe to continue looking after patients in the building. It may be 3 months before we are fully back to normal and during this time some disruption will occur.

As soon as we are able to refurbish the damaged areas, we will do so. We plan to use linoleum throughout the ground floor in order to allow us to keep the building clean and to a rigorous standard that you would expect of a GP surgery.

This week, overnight, we have been running special drying machines to help dry out the concrete floor which is saturated - even in rooms which were not badly flooded. These machines produce 100% dry air and draw the moisture from the concrete which is converted into water and then drained away.

These machines have been installed in various places around the building and, during the day, they are switched off and tubing removed to try to minimise their impact on patients and staff.

It is expected that the building will need drying out for a few more weeks before refurbishment can begin. Our target is to be dry by Christmas and to be fully refurbished by mid-February.

As we reach the end of the second week of drying out the concrete floor of the surgery, I am pleased to advise that the slab is drying out really quickly due to our swift action in lifting the soggy carpet. Next week the dryers will be moved to target other zones in the building which still need to dry out.

In the meantime, the waiting room, corridors and consulting rooms are still bare concrete. These are checked daily for hazards and cleanliness to make sure we can carry on offering a safe service from the surgery.

Flooding Update week ending 31.10.14

We have been zone-drying the building for the last three weeks. This approach has allowed us to keep seeing patients whilst having the drying machines working overnight.

As the current zones being dried are doing well (corridors, reception, kitchen, Drs Hobbs, Bashforth and Sylvester's consulting rooms) over the weekend 01/02 November the drying machines are moving into Dr Ford’s room and the waiting room to commence drying of these parts of the building. Care will be taken to ensure trip hazards are minimised and these are monitored daily.

We will therefore continuing to dry out the building by running these big drying machines overnight and reducing the moisture that is still soaking the concrete floor in the waiting room and Dr Ford’s consultation room. Overnight these machines will remove 100% moisture from the building, drawing it up from the concrete and distilling it through special cooling units. This distilled water then simply drains into our sink.

Update for week ending 07 November 2014

We are still zone drying the building and will continue for the next week to dry out the waiting room and a small consultation room by Dr Ford’s room. Care is taken to ensure trip hazards are minimised and monitored daily. The drying machines will continue to dry out the building overnight.

We anticipate that at the end of next week we will be able to move the drying machines Dr Ford’s consultation room which is still one of the wettest parts remaining. The specialist drying company (who have been involved in recovering buildings damaged in 9/11, the earthquake in New Zealand in 2013 and the Costa Concordia) monitor the drying of the building weekly and will move machines around as soon as they are able to. These drying machines remove 100% moisture from the building, drawing it up from the concrete and distilling it through special cooling units which drain the distilled water into our sink.

We are determined to keep open for patients during this period. However, some disruption is unavoidable, although we will try to keep this disruption to a minimum.

Whilst we have specified that all replacement flooring will need to be done at weekends, it is possible that we may find we actually need to close for a day or two as such a large area needs to have a latex floor laid before the replacement flooring (linoleum) can go down. This will only be done as a last resort and we will make alternative arrangements for our patients, as well as giving plenty of notice.

We are also taking this opportunity to consider making the building dementia-friendly with guidance from The Kings Fund and the Dementia Advice Service. This means we will make a number of small adjustments to the surgery's decoration during the refurbishment to help patients with dementia when they come to see us.

I happened to be in the surgery this week and noticed two things.

Firstly, no windows open in the waiting room. wiating rooms full of folk with bugs do need a flow of fresh air.

Secondly, the receptionists are behind closed (mostly) windows with half obscure glass. Not good for communication - basically the reception talk to you when they want to, not the other way around.

We are pleased to announce that the concrete floor is dry and the big drying machines have been removed from the building. This means we can progress with ordering new flooring. This is the busiest time of year for flooring companies and so we will organise new flooring to be fitted as soon as possible.

New furniture has been arriving over the last few weeks and damaged furniture removed. Dr Ford's room is due to have a new computer, but in the meantime one has been moved into her room from another location. We will also need to redecorate the damaged walls and this will be done as soon as possible.

We are waiting to have new flooring and this will probably be scheduled for January 2015. We will need to put a latex layer down before linoleum which will impact the entire ground floor. We will do as much work as possible at weekends to ensure minimal impact to our services.

Cleanliness and the safety of the building will continue to be scruitinized at this time to ensure we are able to continue to provide services.

We are ready to have our new floor laid and this will take place early in January 2015. Whilst we would like to have this done earlier, because we need to lay a new concrete floor before putting linoleum down (and we are not allowed to close to do this during the day), we are having to wait until we can get the work done overnight and at weekends.

The cleanliness and safety of the building will still be closely monitored to ensure it remains a safe place to treat patients and to work.

Please accept our sincere thanks to everyone for your patience during this period. Our weekly update will cease until we know the date the new flooring will be laid.
